Request access
Access to the Import Portal is managed per organisation. Contact your Alterspective account manager or your firm's Clio Operate administrator to request access. Once provisioned, you'll receive an invite via your organisation's Alterspective Identity account.
Sign in
Navigate to pms-sync.alterspective.com.au/login and click Sign in with Alterspective. You'll be redirected to your organisation's identity provider. No separate credentials are required — your existing Alterspective account is used.
Configure your organisation (admins only)
If this is your first login, an administrator will need to configure the Alterspective Proxy and Clio Operate connections in Settings. You'll need:
- Alterspective Proxy URLThe URL of the Alterspective Proxy installed in your on-premises environment.
- Alterspective Proxy API KeyThe API key issued by Alterspective when the Proxy was installed.
- Clio Operate Identity URLYour Clio Operate tenant identity endpoint (e.g. https://id-tenant.alterspective.com.au).
- Clio Operate API URLYour Clio Operate API base URL.
- Clio Operate Client ID & SecretOAuth2 client credentials with permission to create work items and ODS parties.
Once saved, enable Import Writes in Settings to allow matters to be created in Clio Operate. Leave it off to use preview-only mode.
Preview a matter
On the Import page, enter an Aderant matter number (e.g. 82001) and click Preview. The portal fetches the matter from Aderant, maps its fields to Clio Operate attributes, and shows you a dry-run summary including matter details and all parties. No data is written at this stage.
Import into Clio Operate
If the preview looks correct, click Import into Clio Operate. The portal will:
- Create a Clio Operate work item of type matter with mapped attributes.
- Create ODS party entities for all Aderant parties and link them to the work item.
- Stamp you as a contributor participant so the matter is immediately visible to you in Clio Operate.
- Record the import in the audit log (visible on the History page).
If the matter has already been imported, the idempotency check will detect the existing Clio Operate work item and skip creation — you'll see a already imported status in the preview.
Review import history
The History page shows every import for your organisation — matter number, resulting Clio Operate work item reference, who imported it, when, and whether it succeeded or failed. Failed imports include the error message for diagnosis.
Frequently asked questions
Can I import the same matter twice?
No — the portal checks for an existing Clio Operate work item tagged with the Aderant matter ID before importing. If one is found, the import is skipped and the preview will show an 'already imported' status.
What happens if a party already exists in Clio Operate ODS?
The ODS party creation uses an external reference tag to detect duplicates. If a party with the same Aderant name reference already exists, it is reused rather than created again.
Who can see the imported matter in Clio Operate?
Clio Operate uses participant-based security trimming. The importing user is automatically added as a contributor participant, so the matter is immediately visible to them. Additional participant roles can be added in Clio Operate after import.
What Clio Operate work type is used?
The portal maps matters to the base 'matter' work type, which is present in all Clio Operate instances. Custom work type mapping can be configured by Alterspective for your organisation.
Is preview safe to run multiple times?
Yes — preview is a fully read-only dry run. It makes no writes to Clio Operate or Aderant. You can run it as many times as needed before committing to an import.
